1. Personal information we process
The information we process depends on how you interact with us and may include:
Website inquiries and quotations: Your name, email address, contact number, service preferences, and information included in your inquiry. Shipment details entered into our rate estimator are used to calculate an estimate.
Client and business transactions: Names and business contact details of client representatives, relevant billing and transaction details, and business correspondence.
Delivery services: Sender and recipient names, delivery addresses, contact details, shipment references, delivery instructions, signatures, and delivery status or confirmation records.
Proof of delivery: Where requested by a client for delivery verification, confirmation records may include a photograph of a signed delivery document alongside the recipient's company-issued identification card.
Website operation: Basic technical information may be processed by services supporting the website to enable its operation and protect against misuse. The specific information depends on the website features and services in use.
We may receive information directly from you, from our corporate clients or authorized representatives, and from persons involved in arranging or completing deliveries.
2. Why we process personal information
We use relevant personal information to:
Respond to inquiries, prepare quotations, and communicate about our services;
Arrange, coordinate, perform, and confirm shipments and deliveries;
Verify delivery completion and address delivery-related questions, complaints, or disputes;
Manage client relationships, billing, and business records;
Meet applicable legal, regulatory, and accounting obligations; and
Maintain the security and integrity of our services and address suspected misuse or incidents.
We process information only for purposes that are legitimate, relevant, and appropriate to the service or interaction involved.
3. Legal grounds for processing
Depending on the activity, our legal grounds may include steps requested before entering into a contract or performance of a contract involving the individual, compliance with a legal obligation, legitimate interests permitted under applicable law, or consent where required. We assess the appropriate ground in light of the specific information and purpose involved.
A service arrangement with a corporate client does not automatically establish a lawful basis for every type of information about a delivery recipient.
4. Who may receive personal information
When reasonably necessary for the purposes above, information may be accessible to or shared with:
Authorized G12 EXPRESS personnel;
The relevant sending or receiving client and their authorized representatives;
Drivers, delivery partners, or other service providers involved in fulfilling the shipment;
Providers supporting our business communications, website, and administrative services; and
Regulators, law-enforcement bodies, or other parties when disclosure is required or permitted by law.
We limit disclosures to information relevant to the applicable purpose. We do not sell personal information.
Some service providers may process information outside the Philippines. Where applicable, such processing remains subject to relevant legal requirements and G12 EXPRESS's responsibilities for information under its control.
5. Retention and protection
We retain personal information only for as long as reasonably needed for the purposes described above or as required or permitted by law, applicable contractual obligations, audits, investigations, or the establishment or defense of legal claims.
Under our current operational retention schedule, routine delivery documentation is generally retained for up to two (2) years, and billing and accounting support records are generally retained for up to five (5) years, subject to any longer period required by applicable law or other valid retention grounds. Website inquiries, delivery communications, and particular confirmation records may follow different periods based on their purpose and applicable requirements.
We apply reasonable organizational, physical, and technical safeguards appropriate to the information and risks involved. When information is no longer required, we take appropriate steps to securely dispose of or delete records within our control. Information independently held by clients or other parties may be subject to their own lawful retention obligations.
